Updated

The short answer: a construction invoice shows what you are billing now, the GST/HST, any deposit you are applying, and the balance due. On a long job, progress billing bills the share of the contract finished so far, less what you already billed.

The template below does that math for you. It is a template to adapt, not legal advice. For a simple invoice with no contract to track, use the free invoice generator.

Worked example: a progress invoice

A contractor in Ontario has a $10,000 contract with $2,000 of approved change orders. The job is 50% complete, $2,000 was billed on an earlier invoice, and the client paid a $1,000 deposit.

  1. Revised contract price: $10,000 + $2,000 = $12,000.
  2. Work completed to date: $12,000 × 50% = $6,000.
  3. Billed on this invoice: $6,000 − $2,000 = $4,000.
  4. HST at 13%: $520, for a total of $4,520.
  5. Less the deposit: $4,520 − $1,000 = $3,520 balance due.

How the deposit and GST/HST work here

The CRA's guide for registrants says: do not collect GST/HST when a customer gives you a deposit towards a taxable purchase, and collect it when you apply the deposit to the purchase price. So this template works out GST/HST on the amount billed, then subtracts the deposit from the total. See CRA guide RC4022 (checked October 2026). The GST/HST guide explains registration.

Rates in the form are GST 5%, HST 13% to 15% and GST + QST 14.975%. Choose the rate that applies to your job, and ask your accountant if you work across provinces.

Line items or progress billing?

Approved extras come from your change orders. The contract price comes from your bid or contract. For a simple invoice, the invoice generator is quicker.

Questions

What should a construction invoice include?

Your business and GST/HST number, the client, the job site, an invoice number and date, the work billed, the tax, any deposit applied, the balance due and how to pay.

What is progress billing?

Billing a long job in stages as the work moves forward, rather than all at the end. Each invoice bills the work finished so far, less what you have already billed.

How do I work out a progress invoice?

Add approved change orders to the contract price. Multiply by the percent complete. Subtract earlier invoices. On a $12,000 contract at 50%, with $2,000 already billed, this invoice bills $4,000 before tax.

Do I charge GST/HST on a deposit?

The CRA says not to collect GST/HST when a customer gives you a deposit towards a taxable purchase, and to collect it when you apply the deposit to the price. That is why this template works out the tax first, then takes off the deposit.

What if I invoiced the deposit with tax already?

Then don't enter it in the deposit line, because that would count it twice. Treat it as an earlier invoice in your progress billing.

Does the template handle provincial sales tax?

No. It covers GST, HST and GST + QST. If you must charge PST, add it in the notes, or use the invoice generator, which has provincial rates.

Is this construction invoice template free?

Yes. Fill it in, preview it on the page, then download the PDF or print it. You do not need an account, and your draft is saved in this browser only.
