Sending quotes

Price a job before it's booked. Your client opens the quote online and accepts or declines it there. When they accept, Biller adds a job to your schedule for you to give a time.

Creating a quote

  1. Open Quotes in the sidebar and click New quote
  2. Pick the client, or add a new one with + New client
  3. Optionally pick a service
  4. Enter the Amount
  5. Set Valid until. It starts two weeks out, and the 1 wk, 2 wks, and 30 d shortcuts fill it in for you.
  6. Describe the work under What's included
  7. Click Create quote

Sharing a quote

The quote page has a Share with box with two ways to send it:

  • Copy the link and send it any way you like: text, email, or a messaging app
  • Send to the client's email address: Biller emails them the quote with a View & respond button. This only appears when the client has an email address. After sending, the button changes to Resend.

The client's page shows the total, what's included, and the valid-until date, with Accept quote and Decline buttons. They don't need an account.

Quote statuses

  • Draft: created, but not emailed or opened yet
  • Sent: you emailed it, or someone opened the quote link
  • Accepted or Declined: the client answered, or you recorded their answer
  • Expired: the valid-until date has passed without an answer. An expired quote can't be accepted. The client is asked to contact you for a new one.

Biller doesn't email you when a client accepts or declines. Check the Quotes list to see where each quote stands.

When a quote is accepted

Accepting a quote adds a job for that client and service to your schedule. The job doesn't have a time yet. The client is told you'll confirm a time with them.

  1. Open Schedule. The new job is under Upcoming with Not scheduled yet — pick a time. You can also use the Pick a time link on the quote.
  2. Choose the date and time, then click Reschedule

When you set the time, clients with an email address get an email with the job's time.

An accepted quote can't be declined afterwards. Clicking accept twice doesn't create a second job.

The quote amount isn't copied to the job
When the job is completed, it bills like any other job: at the price of the service on the job, not the amount on the quote. If your quote had no service or a different price, check the amount on the invoice before you send it. You can also bill the quoted amount with an invoice you create yourself.

Recording an answer yourself

If a client says yes or no by phone or text, open the quote and use the buttons next to Heard back already?:

  • Mark accepted: same result as the client accepting. A job with no time is added to your schedule.
  • Mark declined: closes the quote

These buttons, and the share box, go away once a quote is accepted, declined, or expired.
