Payment reminders

Biller can chase unpaid invoices for you, emailing your client a polite reminder with a link to pay, so you don't have to.

How reminders work

Payment reminders are on by default. Biller checks your open invoices once a day. When an invoice reaches the next step in your reminder schedule, Biller emails the client.

Invoices in Biller are due 30 days after you send them, and reminders are timed from the day you sent the invoice. Each reminder shows the invoice number, the due date, the amount still owed, and a button. The button says Pay now if you accept card payments, or View invoice if you don't.

The wording gets gradually firmer with each step and matches your type of business. If you've set a Reply-to address in Settings > Email, replies to reminders go there.

Reminders go out automatically
Invoices Biller drafts are held until you review them, but reminders are not. Once an invoice is sent, reminders go to your client without asking you first. Pause or turn them off if you'd rather follow up yourself.

Which invoices get reminders

An invoice gets reminders only when all of these are true:

  • You emailed it from Biller. Invoices only shared by link aren't chased.
  • It still has a balance owing and hasn't been marked paid.
  • Biller has an email address for the client.
  • Its total is at or above your Don't remind below amount.
  • Reminders aren't paused for that invoice.

As soon as an invoice is paid in full, no more reminders are sent for it.

Reminder schedules

Choose one of four options under How often to remind. Days are counted from when you sent the invoice.

Option Reminders sent
Gentle (default) A heads-up at day 27 that it's due soon, then one follow-up at day 37.
Standard Due soon at day 27, due now at day 33, and a final reminder at day 47.
Single nudge One reminder at day 30, when the invoice is due.
Off No automatic reminders.

Each reminder is sent once per invoice, in order.

Changing your settings

Go to Invoices and click the settings gear. Under Payment reminders:

  • Send payment reminders -- switch this off to stop all reminders for this business.
  • How often to remind -- pick a schedule from the table above.
  • Don't remind below -- skip invoices whose total is under this amount. Leave it at 0 to remind on every unpaid invoice.

Reminder settings are separate for each business you run.

Pausing one invoice

If you've agreed to a later payment date with a client, you can stop reminders for just that invoice. Open the invoice. Under the send button you'll see "Automatic payment reminders are on." Click Pause.

Click Resume to turn them back on. This control only appears on unpaid invoices you've emailed from Biller.
