Invoicing completed work

Most invoices in Biller are not typed by hand. When you mark a job complete, its price is queued as unbilled work, and Biller turns that work into invoices -- either when you click a button or automatically at the start of each month.

How work becomes billable

When you click Mark complete on a job, Biller adds one line of unbilled work for it, priced at the job's service price. (Biller uses your business type's wording, so a job may be called a walk, a session, or a visit.)

How that work gets invoiced depends on the client's Billing setting, which you choose when adding or editing a client:

  • Invoice each job -- the work waits until you click Generate invoice.
  • One monthly invoice, drafted on the 1st -- the work builds up over the month and is rolled into one invoice for that client.

A job takes its billing from the client when it is scheduled. Changing a client's Billing setting only affects jobs scheduled afterwards.

If you cancel a job or mark it a no-show, you can enter an optional Fee. That fee is queued as unbilled work too.

Jobs covered by a package or contract
A job that uses a credit from a prepaid package, or falls under a seasonal contract, is not billed again when you complete it. The package or contract already has its own invoice. If a package runs out of credits, the job is billed the normal way.

Billing each job

When clients billed per job have unbilled work, a Completed work ready to bill banner appears on your Schedule page and on Home, showing the total not yet invoiced.

Click Generate invoice and Biller creates one invoice per client, covering all of that client's unbilled work. If three clients have completed work, you get three invoices.

Monthly invoices

For clients on monthly billing, Biller drafts one invoice per client early on the 1st of each month. It covers their unbilled work from before that month began. The invoice description reads like "August 2026 -- completed work". When invoices are drafted, you get an email telling you they're ready to review and send.

Your Schedule page shows how much more is building up for monthly invoices, below the banner.

To turn this off, open Invoices, click the settings gear, and switch off Draft monthly invoices automatically under Month-end invoicing. Monthly work then keeps building up until you invoice it yourself.

Need the money sooner? Open a completed job for a monthly client and click Invoice now instead. Biller creates an invoice for just that job, and it's left out of the month-end invoice.

Packages and contracts

  • Prepaid packages -- selling a package to a client drafts an invoice for the package price right away. The credits unlock when that invoice is paid in full. See Prepaid packages.
  • Seasonal contracts -- creating a contract drafts all of its installment invoices up front, one per month from the start date. See Seasonal contracts.

After an invoice is drafted

Nothing goes to your client on its own. New invoices show as Draft on your Invoices page until you send them. Each gets a random invoice number like INV-7K2QX9M4TB, and your seller details are copied from Settings > Invoicing & tax.

Open the invoice to review it, then email it or share the link. See Sharing and sending invoices.

Your client's details are already on it
An invoice made from completed work carries the client's name and email, so you can send it straight from the invoice page and they see their own name on it.
GST/HST on these invoices
Each service carries its own GST/HST rate, and invoices made from completed work, packages, and contracts charge whatever the services on them say. New services start at your business rate; set a service to 0% for work that's exempt. See Charging GST/HST on invoices.
