Seasonal contracts

A seasonal contract is one price for a date range, however many visits it takes. Think of a snow removal contract from November to April. Jobs in that range aren't billed one by one. Instead, each one is logged on the contract as a record of the work.

What a contract is

A contract has a client, a start and end date, a price, and a number of installments. It can cover every service or just one. Contracts are available in every business, and they're set up from a client's page.

A contract is in effect based on its dates, not on payment. Covered jobs are handled by the contract even if an installment hasn't been paid yet.

Creating a contract

  1. Open the client's page and click New contract in the Contracts box
  2. Enter a Name, such as "Snow 2026-27"
  3. Set the Starts and Ends dates. The end date must be after the start date.
  4. Enter the Contract price
  5. Choose Installments: Up front, or 2, 3, 4, or 6 payments
  6. Under Covers, choose one service or Every service
  7. Add any notes, then click Create contract

Installment invoices

When you create the contract, Biller creates every installment invoice right away:

  • The price is split evenly. Any leftover cents from rounding go on the first installment.
  • The first invoice is dated on the start date, and each one after that is dated one month later
  • With more than one payment, each invoice is labelled like "Snow 2026-27 — installment 1 of 3"

Installment invoices aren't sent automatically. Send each one when it's due. See Sharing and sending invoices.

Which jobs are covered

A job is covered when all of these are true at the time it's scheduled:

  • It's for the contract's client
  • Its date falls between the contract's start and end dates. A job with no date counts as today.
  • Its service matches the contract, or the contract covers every service
  • Its Billing is set to Automatic

A covered job adds nothing to an invoice when completed. It's logged on the contract instead. Work outside the contract, like salting on a plow-only contract, bills separately as usual.

If the client also has an active prepaid package that covers the job, the package credit is used first.

Set up the contract before the work
Biller decides whether a job is covered when the job is scheduled. Jobs already on the schedule before you create the contract (including repeating jobs added up to four weeks ahead) bill the normal way.

The contract page

Click a contract on the client's page to open it. The page shows:

  • A status: Pending before the start date, Active during the contract, Completed after the end date, or Cancelled
  • Installments: each invoice marked Paid or Open, with a count like "1 of 3 paid"
  • Visit log: every completed covered job, with the date and time it was completed. It's your proof of service if a client ever asks.

Cancelling a contract

On the contract page, click Cancel contract and confirm. Jobs you schedule after that bill the normal way.

Cancelling doesn't remove the installment invoices. They stay on your invoice list, so just don't send the ones you no longer need.

Already-scheduled jobs stay covered
Jobs that were scheduled while the contract was in effect still count as covered after you cancel. They won't be billed when completed. If you need to charge for them, bill that work on an invoice you create yourself.
