Scheduling and completing jobs
A job is one piece of work for a client. You put it on your schedule, mark it complete when it's done, and Biller turns completed work into invoices.
The Schedule page
Open Schedule in the sidebar. Jobs are named for your industry: walks for dog walking, lessons for tutoring, cleans for house cleaning, and visits for lawn care and snow removal. The page shows:
- Repeating: your standing weekly schedules, if you have any (see Repeating jobs)
- Upcoming: jobs that haven't happened yet, soonest first
- Recently completed: your last 10 completed jobs, each marked Invoiced, On monthly invoice, or Unbilled
Scheduling a job
- On the Schedule page, click Schedule a job (for example, "Schedule a walk")
- Pick the client, or add one with + New client
- Pick the service. The service sets the price when the job is completed.
- Set the Scheduled start. Leave the time empty for a "sometime that day" job.
- Leave Repeats on Doesn't repeat for a one-off job
- Choose Billing. Automatic uses the client's prepaid package or seasonal contract when one covers the job, and otherwise bills the client the usual way. You can also pick Bill on its own invoice or Add to the monthly invoice.
- Add any Notes, then click the Schedule button
If the client has an email address, Biller emails them a booking confirmation with a link to the job's status page.
You can also start from a client's page, which fills in the client for you.
Rescheduling
Open the job and click Reschedule. You can change the start and the notes. The client and service can't be changed once a job is created.
If you change the date or time and the client has an email address, they get an email with the new time.
Clients can also ask for a new time from their status page. Those requests go to your Requests inbox. See Handling booking requests.
Completing a job
You can mark a job complete in three places:
- The Complete button on the job's row under Upcoming. Tap it twice: the first tap asks Confirm?.
- Mark complete on the job's page
- Done on the Today board, or the camera button beside it to complete the job and attach a photo in one step
What happens next depends on how the job is billed:
- Prepaid package: one credit is used, and nothing is added to an invoice. If the package has run out, the job bills the usual way instead.
- Seasonal contract: the job is logged on the contract, and nothing is added to an invoice
- Anything else: the job becomes unbilled work, with one line at the service's price
Job reports
After a job is completed, you can leave the client a report. Click Add job report on the completed job, or on the prompt that appears after you complete it. It's called a walk report, lesson notes, cleaning report, or service report, depending on your industry.
The report form fits your industry:
- Dog walking: time out and back, what happened on the walk, mood, a note for the pet parent, and photos
- Tutoring: what you covered, homework, the next lesson date, notes, and photos
- House cleaning: extra touches, a note for the homeowner, and photos
- Lawn care and snow removal: arrival and departure times, work done, conditions, a note for the client, and photos
- General: notes and photos
Outside tutoring, the report also includes a checklist when the job's service has checklist items. The client sees the report on the job's status page. The first time you save a report with something in it, clients with an email address also get a "your report is ready" email.
Cancel or no-show
On the job's page, open Didn't happen? Cancel or no-show:
- Optionally enter a Fee for a late cancellation or no-show
- Click Cancel job or No-show and confirm
A fee becomes unbilled work and is billed like any other completed job.
Status page and reminders
Every job has a status page your client can open without an account. Find the link under Share status with on the job's page, and click Copy. Booking confirmation and reminder emails link to it too.
The status page shows the job's status, service, and scheduled time, plus the report once you've added one. If the job used a prepaid package, it also shows how many credits are left. Until the job is finished, the client can ask for a different time there.
The day before a scheduled job, Biller emails the client a reminder. Reminders are sent once a day, for clients with an email address.
Billing completed work
When you have unbilled completed work, the Schedule page shows Completed work ready to bill with a Generate invoice button. That creates one invoice per client. Work for clients on monthly billing waits for the monthly invoice, which is drafted on the 1st. To bill one of those jobs sooner, open it and click Invoice now instead.
See Invoicing completed work for the details.
