Prepaid packages
Sell visits up front, like "10 walks for $200". You get paid first, each completed job uses a credit, and Biller tells you when a client is running low.
How packages work
- You add a package to your catalogue: how many visits, the price, and which service it covers
- You sell it to a client, which creates an invoice for the package price
- When that invoice is paid in full, the client's credits unlock
- Each completed job the package covers uses one credit, and nothing extra is billed for it
Credits count visits, not dollars.
Creating a package
- Open Services and scroll down to Packages
- Click Add package
- Enter a Name, the Visits included, and the Package price
- Under Covers, choose one service or Any service. A job for a different service bills the normal way instead of using a credit.
- Set Low-balance alert at: the number of visits left that should trigger a heads-up
- Optionally tick Draft a renewal invoice automatically at the low-balance alert
- Leave Active (available to sell) ticked, then click Add package
Dog walking and tutoring businesses start with a package already set up: a 10-walk pack or a 10-lesson pack. Change or remove it as you like.
Removing a package from your catalogue doesn't affect credits clients have already bought.
Selling a package to a client
- Open the client's page
- In the Packages box, choose the package from the dropdown
- Click Sell a package
Biller creates an invoice for the package price. The package shows Waiting on invoice until the invoice is paid in full. Then its credits unlock, however the payment was recorded: e-Transfer, card, or manual entry.
The invoice isn't sent automatically. Open it from the client's page and send it the way you normally would. See Sharing and sending invoices.
If the client paid you some other way, or you want to give them credits before they pay, click Activate now to unlock the credits straight away.
How credits are used
When you schedule a job with Billing set to Automatic, Biller checks whether the client has an active package with credits that covers the job's service. If so, the job is set to use a credit.
When the job is completed:
- One credit is used, starting with the client's oldest package, and you'll see how many are left, like "Package credit used — 3 left"
- No charge is added for the job
- The job's status page shows the client how many visits are left on their package
- If the package ran out before the job was completed, the job bills the normal way instead
The client's page shows each package's balance, like "7 of 10 visits left".
Low balance and renewals
When a client's balance reaches the package's low-balance number:
- Your Home page shows that the client's package is running low
- On the client's page, the balance turns red and says running low
- If Draft a renewal invoice automatically is on, Biller creates a new sale of the same package, with its own invoice, waiting to be paid. It does this once, as the balance reaches that number.
The renewal invoice isn't sent for you. Send it to the client when you're ready.
